Getting started
Do my customers need to create an account?
No. Every customer gets a private, token-based portal link to view appointments, approve estimates, pay invoices, and message you — no login required.
Can I use the platform for any trade?
Yes. There are 25 trade presets at signup — plumbing, electrical, HVAC, roofing, landscaping, pest control, locksmith, cleaning, pool maintenance and more — and each sets your job terminology, default services, custom fields and workflow stages. If your trade isn't listed, pick the closest one: everything the preset sets can be edited afterwards, so it is a starting point rather than a category you are locked into.
Can I change my trade configuration or workflow stages after signup?
Yes. Workflow stages are editable under Settings — rename them, reorder them, change their colours, and choose which ones require a photo before a job can move on. Your services, custom fields and terminology are editable too. Nothing chosen at signup is permanent.
Is there a mobile app?
Yes, for Android, free with every account — and the web app works well in a phone browser too. The app is worth installing for anybody who works away from a signal: the clock, photos, signatures, checklists and safety forms all keep working with no connection and send themselves when you are back in range. Is there an iPhone app?
Not yet. iPhone users should use the web app in Safari, which covers everything except offline work and background location. Those two are exactly what an app is needed for, which is why Android came first.
Jobs & scheduling
How do team roles work?
Roles are fully custom per business, not a fixed list. Every business starts with editable Manager, Office Staff, and Technician roles (plus a fixed Owner role), and you can adjust exactly which of 37 permissions each role has from Team → Roles.
Can I assign a job to more than one technician?
Yes — the job assignment field is multi-select. If an assignment creates a scheduling overlap for someone, you'll see a warning, but the job still saves; it's a heads-up, not a block.
Do workflow stages have to happen in order?
No. Every stage button is always available on a job, so you can jump to any stage at any time — useful if something needs to move backward, like reopening a job marked completed by mistake.
How do recurring jobs work?
Setting a job to recur (weekly, biweekly, or monthly, up to 52 occurrences) creates all of the occurrences immediately as separate jobs sharing one recurring series. Editing or deleting only affects the single occurrence you're viewing — there's no bulk edit for the whole series yet.
How does the schedule's "Find next available slot" work?
It scans the next 30 days against your business's working hours, holidays, and existing jobs to suggest the next open gap when you're creating a job.
What's the difference between the four schedule views?
Day lays a single day out by time of day, Week (the default) and Month are drag-to-reschedule grids, and Team shows every technician's week side by side (managers/owners only). See Scheduling & Dispatch.
Does dragging a job to a new day also change its time?
No — dragging a job to a different day in the Week or Month view only changes the date. The time of day and duration are always preserved; edit the job directly to change those.
How does live location sharing work?
A technician can turn it on from a job page while that job is in the Travelling or On Site stage. It's opt-in and tied to that specific job — not an always-on tracker — and stops when they turn it off or the job leaves those stages.
How does GPS clock-in/out work?
Clocking in or out of a job captures your coordinates at that moment, if your browser grants location access. Only one clocked-in time entry is allowed per person at a time.
Customers & the customer portal
How do customers request an appointment?
Share your booking link (found under Settings → General) anywhere — your website, email signature, social media. Requests are only checked against your configured booking lead time, not your existing schedule, so treat them as requests to confirm rather than confirmed bookings.
What can a customer do on their portal link without logging in?
View upcoming and past appointments, view and approve/pay estimates and invoices, message your business, leave a star rating and review, and book another appointment. Access is controlled entirely by a unique token in the link itself.
What happens if I delete a customer?
Their properties and estimates are removed, but the customer record is archived (not erased) so historical jobs and invoices keep displaying correctly. Archived customers are hidden from lists and pickers.
Can a customer have more than one property?
Yes, unlimited — useful for landlords, property managers, or any customer with multiple service locations. Pick which property a job is for when you create it.
Estimates, invoicing & payments
How do customers approve an estimate?
Once an estimate is sent, it has its own public approval link (no login required) where the customer can review it and sign to approve, or decline.
Can I turn an approved estimate straight into a job?
Yes — once approved, a "Convert to job" action creates a new job with the estimate's line items carried over. This can only be done once per estimate.
How do I get paid online?
Connect your own Stripe account under Settings → My Subscription. Once connected, customers see a "Pay now" button on their invoice that pays directly into your Stripe account — we're never a party to that payment. See Estimates & Invoicing.
Can I record a payment made outside Stripe (cash, check, bank transfer)?
Yes — record a manual payment against any invoice's balance from its detail page.
Do invoices automatically become overdue and send reminders?
Not automatically today. Invoices have an "Overdue" status and Settings has a due-days preference, but nothing currently sets a due date on an invoice or transitions it to Overdue on its own — chase overdue invoices manually for now.
Can I export invoices to my accounting software?
Yes — export as CSV, or in layouts pre-formatted for bulk import into Xero or QuickBooks, from the invoice list.
Team & permissions
How many team members can I have?
Free and Solo plans allow 1, Team allows up to 5, Growth is unlimited. Change plans any time from Settings → My Subscription.
Can I customize what a role can see or do?
Yes — every role except Owner is fully editable. Adjust which of the 18 available permissions a role has from Team → Roles.
Is there a separate view for technicians?
Not a separate app or URL — technicians use the same dashboard, but see extra widgets (their jobs today, their week) and quick actions that owners/managers don't.
How do time-off requests work?
Anyone can request time off from the Team page. Managers are notified and can approve context by seeing it reflected on the Team page and as vacation blocks in the Schedule's Team view.
Inventory
What's the difference between Products and Materials?
Products carry a unit price (what you charge); Materials carry a unit cost plus a unit of measure (what you pay, e.g. per box or per foot). Both track stock and a reorder point.
When does a purchase order restock my materials?
Only when it's marked Received — creating or ordering a purchase order doesn't change stock levels on its own.
Will I be alerted if something runs low on stock?
Not automatically yet — low stock is shown as a badge and filter on the Materials list (once quantity on hand reaches the reorder point), but there's no notification sent for it.
Where does stock come off when a job uses a part?
From the van of whoever recorded it, if they have one assigned; otherwise from your default warehouse. The deduction and the usage record are written together, so a part can't be logged as used without coming off somewhere.
Can stock go negative?
Yes, on purpose. Refusing the deduction would mean a technician who used a part can't record that they used it, and a wrong job record is worse than a visibly wrong stock figure. Treat a negative level as a prompt to do a stock take.
What's the difference between a warehouse and a vehicle?
Only that one moves. Both hold their own stock levels, and moving stock between them is a transfer rather than an adjustment, so the total never changes by accident.
Can I scan barcodes?
Yes — items can hold a barcode and you can scan one with a phone camera to find the item rather than typing a code. Most useful during a stock take or when receiving a purchase order.
Dispatch
What's on the dispatch board that isn't on the schedule?
The two things that need a decision: every open job with nobody assigned, and today's jobs that are past their start time and that nobody has set off for. The schedule shows you when things are; the board shows you what to do about it.
Why doesn't a job from last week show as running late?
Running late is bounded to today. A job left unstarted for three weeks is a tidying-up problem for the jobs list, and putting it at the top of a live board every morning is how people learn to stop reading the board.
Can I arrange the dispatch board?
Yes — press Customize to drag, resize, add or remove widgets, the same as the dashboard. It's saved per person, so two dispatchers can work differently, and it's stored separately from your dashboard layout.
Does it tell me who should take an unassigned job?
No. Travel time, traffic and nearest-technician suggestions aren't built yet — the board shows you what needs assigning and who is free, and you make the call.
Subcontractors
Do subcontractors get a login?
No. They aren't team members — they don't appear in your team list or the scheduling timeline. What they get is a record you can attach to jobs, so the cost and the paperwork sit with everything else.
Will I be told before a subcontractor's insurance expires?
There's an "Insurance to chase" widget for your dashboard that counts everyone expiring or already expired, across all of them rather than just the page you're looking at. There's no email or push notification for it.
Does subcontract cost count toward profit?
Yes. The agreed cost on a job is a real cost line and flows into job profitability and your overall profit figure, alongside materials and expenses. It isn't wages and isn't part of payroll or timesheets.
Notifications
What happens when a job is marked complete?
The customer gets an automatic email notification. You can also send a review request afterward (if you've set a review link in Settings → Preferences), or the customer can leave a review directly in their portal.
How do job reminders for technicians work?
Every technician assigned to a job automatically gets a push notification a configurable number of minutes before its scheduled start — on by default for the whole business, no manual setup required per job.
What are the "late start" and "overdue progress" alerts?
Two opt-in alerts an owner can turn on in Settings → Notifications: one fires if a job's start time has passed with no one clocked in, the other if its end time has passed with someone still clocked in. Both are checked hourly.
Do I need to enable push notifications separately from in-app notifications?
Yes — the notification bell and chat badges work automatically, but push notifications (so you get alerted with the tab closed, or the phone in a pocket) need to be turned on from Settings → Notifications. In the Android app the same switch is under Settings → Notifications there.
The Android app
What actually works with no signal?
Clocking in and out, breaks and travel, job stage changes, notes, photos, signatures, checklists and safety forms. Each is recorded on the phone and sent when there is a connection again. Today's work is cached before you leave, so the job, its address and its history are readable underground. Raising invoices, estimates and purchase orders deliberately need a connection — money should not be created against stale data.
How do I know whether something has sent?
A strip at the bottom of the screen says how many changes are waiting. Tapping it opens the full list, and you can reach that list any time from Settings → Waiting to send — which is the honest answer to “did that note I wrote in the cellar ever go?”. Anything that could not be sent at all is marked as needing attention rather than disappearing.
Does the app track my location?
Only if you turn it on yourself, and only while you are clocked in. It stops the moment you clock out, it does not run on a day of approved leave, Android shows a notification the whole time that cannot be dismissed, and you can withdraw it at any point from Settings → Location. Positions are visible only to people in your own business and are deleted after 90 days.
Can my employer switch background location on for me?
No. Android will only accept the “Allow all the time” permission from the person holding the phone, so neither your employer nor we can enable it on your behalf. Turning it off again is a single switch in the app.
Why is it not on the Play Store?
It is a direct download while it is in beta, which avoids a review queue and gets fixes to real technicians in days rather than weeks. Play comes once the app has survived real use. It does mean the install asks two extra questions, and that work-managed phones which block sideloading cannot install it at all.
The app says I have to update. Why can I not dismiss it?
Because that release changed something the platform can no longer accept from an older build — carrying on would record your work in a form the office cannot read. Most updates are a banner you can ignore; the blocking one is rare and deliberate. Install the new version over the old one rather than uninstalling first, or anything not yet sent is lost.
How do I delete my account from the phone?
Settings → Danger zone → Delete account. Your login and personal details go; the work you recorded stays with the business without your name on it, because timesheets and invoices are the business's records. Download your data first from the web app — Settings → General — because afterwards there is nothing to export.
Reports & profitability
Can I build my own report?
Yes — pick a source, choose its columns, set a date range, optionally group and total, then save it so it's one click next time. There are nine sources, including business expenses, purchase orders, materials and subcontractors.
Can a saved report be emailed to me on a schedule?
A saved report is opened rather than delivered — one click from the Reports page, with your columns, filters and grouping as you left them. What does arrive on a schedule is the daily or weekly digest: jobs completed, money collected and estimates approved, to your inbox and the app, with nothing sent for a quiet week.
How is commission worked out?
A rule pays somebody a percentage of a basis — the job's revenue, its profit, or its labour. The commission report shows the basis and the percentage on every row so the figure can be checked rather than trusted. Jobs with no assignee, or assigned to somebody with no rule, are reported as uncredited rather than dropped.
What counts as overtime on a timesheet?
Hours past your weekly threshold. Clocked time is typed as work, break or travel — breaks don't count toward regular or overtime — and utilisation is measured against each technician's own weekly working-hours pattern rather than a flat assumption.
Can I track profitability per job?
Yes — each job tracks materials used, expenses, and revenue from any linked invoice, rolling up into a per-job profit figure, and Reports aggregates this across your whole business.
How is profit calculated?
Revenue actually paid on invoices, minus the cost of materials used (at the price recorded when used, not today's catalog price), minus logged expenses. Reports also folds in standalone business expenses that aren't tied to a specific job.
Can I log expenses that aren't tied to a specific job?
Yes — standalone business expenses (rent, utilities, insurance, supplies, etc.) can be logged directly from the Expenses page under Reports.
Account, billing & languages
How do I change my subscription plan?
From Settings → My Subscription. The change is instant and self-service; it's only blocked if your current active team is larger than the plan you're switching to allows.
Is my customers' payment processing the same as my subscription billing?
No — they're completely separate. Your subscription is what you pay us; your customers' invoice payments go through your own connected Stripe account, straight to you.
What languages does the platform support?
The interface can be switched between 23 languages from Settings → General, but today only English has translated content — other languages will fall back to English text until translations are added.
